How do I register people for the memberships and conference passes that are part of my ONA15 package?

Sponsors and exhibitors will receive private access to the online ONA15 Sponsor, Exhibitor and Midway Centers to register for their memberships and ONA15 passes. The Centers will be active by early July 2015.

For packages with benefits that include standalone ONA memberships, you can purchase conference passes at the ONA member rate after registering that membership.

What are the Exhibitor & Midway hours, set-up and tear-down times?

Exhibitor, Sponsor and Midway Hours:

  • Thursday, Sept. 24, 10 a.m. – 5 p.m. (Promenade Sponsors can open as early as 8 a.m.)
  • Friday, Sept. 25, 10 a.m. – 4 p.m.
  • Saturday, Sept. 26, 10 a.m. – 3 p.m.

Set up:

  • Exhibitors: Wednesday, Sept. 23, 2 – 7 p.m.; Thursday, Sept. 24, 7 – 9 a.m.
  • Promenade Sponsors: Wednesday, Sept. 23, 1 – 7 p.m.; Thursday, Sept. 24: 7 – 9 a.m. Note: Registration opens at 7:30 a.m.
  • Midway: Wednesday, Sept. 23, 2 – 7 p.m.; Thursday, Sept. 24, 7 – 9 a.m.

Tear down: Exhibitors, Sponsors and Midway participants can disassemble their spaces after 3 p.m., Saturday, Sept. 26.  All sponsor and exhibit spaces will close at this time. Note: Please do not disassemble in the Midway or Exhibit area before 3 p.m. Saturday.

Shipping Notes:

  • Multiple packages within a single shipment should be numbered in sequence (e.g. 1 of 3, 2 of 3, etc); it may be helpful to make note of individual package contents so that careful records of all materials may be maintained and the sender alerted in the event of damage or non-receipt.
  • Heavy boxes should be identified so that staff (either yours or the hotel’s) can avoid injury while lifting them.
  • Please label all boxes with your Company/Organization name and Booth/Space/Table number.
  • The hotel is not responsible for packing any materials. Any packaged materials left behind without shipping instructions will be discarded within three business days.

How do I ship materials for ONA15 Attendee Bags?

Please include the following information in the Sponsor, Midway and Exhibitor Centers if you are shipping materials for ONA15 attendee bags by Sept. 1, 2015.

If you are a Supporting Sponsor with a bag drop, please email this information to Jessica Strelitz at jessica@journalists.org no later than Sept. 1, 2015.

You must use a special shipping label for bag inserts.

Please ONLY use this label to ensure timely delivery of materials for the attendee bags. These labels should ONLY be used for bag inserts.

How do I order show services, including exhibit/lounge furniture or custom booth work?

ONA is working with event services provider GES for these services. Order forms, details and deadlines are available here.

How do I order computers, screens or other hardware?

ONA is working with PSAV for these services. Use the price guide and the order form.  If you wish to email the finished form, please send to Yeeni Beas @ ybeas@psav.com.

How do I order electric/hard-wire internet?

ONA is working with the Hyatt on hard-wire internet needs. Use this order form.  Form can be faxed or emailed to mimi.vandyk@hyatt.com.

ONA is working with Edlen on electric. All Exhibitors and Sponsors with lounge space are responsible for securing their own electric. Use this order form.

Where will boxes and crates be stored during the conference?

There is storage space for Exhibitors/Sponsors in the California Lounge space available on a first-come, first-served basis. Small boxes and materials can be kept under exhibit tables.

Will there be security?

ONA will provide security for Exhibit/Midway/Sponsor space during non-show hours, but ONA is not responsible for theft. We strongly recommend exhibitors store valuables in their rooms when they are not in the exhibit/Midway/sponsor areas.

When will exhibitor and Midway booths be assigned?

Booths are assigned based on sponsorship level and a first-come, first-served basis and finalized by Sept. 1, 2015. Contact jessica@journalists.org for space assignments.

Is there a layout of the conference area so I can see where we are located in relation to the session rooms?

The California Level is the location of all keynotes, exhibit/sponsor space, registration, lounges, sponsored sessions and large workshop rooms. The California Lounge space is where Sponsor Lounges will be located; the California Showroom space is where the Exhibit and Midway areas are located (Exhibit space in front, Midway in the second room).

What is provided for exhibitors in the Exhibitor Ballroom space?

Each 10×10’ exhibit space in the Ballroom will include:

  • 6’x30” table
  • 2 chairs
  • Waste basket

10’x20’ spaces include 2 tables, 4 chairs and a waste basket.

Pop-ups are allowed in this space. Electric and hard-line Internet are NOT included, and must be ordered in advance if you need either service. Wi-Fi will be provided by ONA during the conference.

Will there be Internet in the Exhibit, Sponsor and Midway areas?

How do I submit my logo and company description for the ONA15 newsletter or website or printed program guide (if part of your sponsorship)?

All sponsors and exhibitors will be listed on the conference website with a 60-word description of their company or services.

All logos should be sent in EPS or Illustrator format so they can be scaled and used as needed. Logos and descriptions should be submitted via the online ONA15 Sponsor, Midway and Exhibitor Center, which will be available by the end of June. If you have questions about the Centers, or have a Supporter package, please contact Jessica Strelitz at jessica@journalists.org.

Final deadline for all website + printed material is Aug.  7.

What are the details for ads in the ONA15 printed program?

Graphic design must be in PDF or EPS format. Ads can be color OR black-and-white. All ads can be added to the Sponsor, Exhibit or Midway Centers.

If you purchase a Supporter Package that includes a print ad, creative must be emailed to Jessica Strelitz at jessica@journalists.org no later than Aug. 7. The specifications for the ads are as follows (based on 7.5” X 8.5” page, no bleed):

  • Full-page ad: 6.5″ x 7.5″
  • Half-page (horizontal): 6.5″ x 3.625″
  • Quarter-page (vertical): 3.125″ x 3.625″
